Special Instructions:  Please shut down and unplug all multi-function copier devices as well as any printers during scheduled power outages. Scope:  Facilities Services will be refinishing the exterior side of six (6) sets of double-doors into the courtyard.  The doors involved are off of H110, H130, and room 115.

2023 – 2024 Campus Locking Areas for Holidays and Academic Breaks

The purpose of this email is to share details of the door lock procedure for observed holidays and academic breaks in 2023 – 2024. The procedure is designed to protect against theft and vandalism, while also providing access to specific public facing buildings on the UO’s campuses, as follows:

  • Most university building doors will be locked during observed holidays and academic breaks as defined below.
  • Some buildings with public facing services may not be subject to the locking schedule, especially during academic breaks. These building are listed in the procedure.
  • Faculty, staff, and student employees should already have either keys or prox card access to enter buildings during these times. Departments have authorized individuals who can request access for those who may need it.
  • Finance and Admin Shared Services IT (FASS IT) will send reminders out through the facility liaison list as a reminder prior to each of the door locking dates. Those reminders will include instructions for adding prox card access for those who may need it.
  • No changes will be made to individual access, so anyone with existing access will still be able to access their normal locations.

Authorized individuals may request exceptions to the locking procedure, by meeting specific criteria listed in the procedure. Requests for exceptions can be submitted to FASS IT by calling 541-346-2245 or by emailing fass@uoregon.edu, providing as much advance notice as possible and noting which exception criteria their situation meets. FASS-IT will consult with the Campus Vulnerability Assessment Team on approval of exemptions.

8/28/23 Klamath Hall Water Intrusion Advisory

On August 24, 2023, a water intrusion occurred in the Klamath Hall basement that resulted in water impacts in room B018, B020, B026, and the East hallway. The impacts were substantial enough to require mobilization of a restoration contractor to assist the University with drying out impacted finishes. We are confident that drying should be able to be accomplished with the vast majority of finishes undisturbed in approximately 7 days. In the meantime, users of Klamath Hall basement should expect to see equipment and containments in each of the spaces indicated above. The containments will help create a dry environment and speed the drying process. It is imperative that containments and equipment are left to run unimpeded in order to be successful and prevent larger scale demolition. Once the dry out is finished, repair and restoration will be transferred to CPFM. Please contact Adam Jones if you have questions.

UPDATE 10/25/23:
Fortis Construction is fully mobilizing onto the Project site beginning October 30th.  Work activity for the removal for restoration of the University and Villard Hall windows will also commence, as well as interior building demolition within the two buildings and continue for the next few months.

Scope:  General information for summer activity associated with the Heritage Renovation Project (exterior historic preservation and interior remodel of University and Villard Halls) are outlined as follows:

    • Contractors Fortis Construction and GBC Construction will periodically be in both Villard Hall and University Hall prior to established department move dates for pre-abatement and demolition investigations and activity.  When the department move dates are reached and moves completed, the buildings will be off-line for access without specific approval.  Once abatement starts, the buildings and site will be fully restrictive access.
    • The parking area between University and Villard Halls will remain open until July 16. Beginning July 17, Fortis Construction will begin setting up construction fencing and closing off access to this parking area. Initial construction fencing will enclose Villard Hall as well, limiting access into the building.
    • Villard Hall department moves are scheduled for July 19-21.
    • Villard Hall abatement is scheduled to begin August 7 and will continue into September.
    • Access into University Hall will continue until the end of the second summer class session, August 18. (But parking lot will be offline for vehicles)
    • University Hall: Mathematics department move is scheduled for August 21-23. Construction fencing to enclose University Hall is targeted to begin in this time period as well.
    • University Hall abatement is scheduled to begin September 4 and will continue into October.
    • In conjunction with construction fencing installation, vehicular and pedestrian pathway closure and rerouting signage will be put in place.

Scope:  We will be conducting a GPR (ground penetrating radar) investigation of the 3rd floor slab in specific areas of the SE portion of Oregon Hall on Tuesday, June 20th – Friday, June 23rd.  See attached plan for the general areas we are targeting.  Most of this investigation will be conducted in the currently unoccupied space on the 3rd floor.  We will be accessing the ceiling of the second floor offices for one day of the investigation.  I will be coordinating with those offices to mitigate the disruption while we capture this data.

Services Impacted:

  • This will mostly impact those on the rooms listed in the second floor for one day as the crew comes through their offices to scan their ceilings.
  • Noise can be expected during this time.

6/09/23 – 9/30/23 Streisinger Hall and Parking Lot 12B East Science Loop Project

2nd UPDATE 9/28/23:
It is expected that the tar odors may be noticed around Klamath Hall, and possibly Onyx Bridge, tomorrow.

 

UPDATE 9/28/23:
The East Science Loop civil contractor will be paving the parking lot on the north side of the Streisinger building (see picture for specifics), weather depending. This is scheduled for Friday, September 29th from 7:00 am to 12:0 noon.  During this work the adjacent areas will be experiencing heavy vehicle traffic as the work is being performed, and due to this spaces might be blocked temporarily. Additionally, some paving odors will be present during the work as well.

If this work does not take place due to weather, the notice will be updated with future times/dates to be aware of.

After speaking with the building users regarding lab waste schedules, we are rescheduling the lab waste piping connection shutdown to Friday, July 7th, and Monday, July 10th.

As part of vault deliveries for the East Loop Electrical project, the parking lot area shown will be closed and also the associated loading dock will be down for the duration of the crane work on Monday, July 17th Friday, July 21st, at 7:00 am through Tuesday, July 18th, until 6:00 pm.  Please take this into consideration for your activities, and reach out should this activity limit critical operations/needs.  This will be the first of 3 such closures, with the next potentially occurring 7/25 7/26 and 8/2 TBD. We will update this notice each time to ensure we are working around your needs as we are able.

UPDATE 6/30/23:
Due to work needed to move the East Loop electrical project forward, the lab waste piping will be shut down for up to a days’ time to make the necessary connections to improve the system. This will affect Streisinger, Klamath, and Onyx Bridge.  Be advised that during this time, all lab waste drains will be unable to be used (eg: sink drains).  We are intending to perform this work on Tuesday, July 11th, Friday, July 7th, and Monday, July 10th, from 7:00 am to 5:00 pm.    Please let us know if that day presents a conflict in regard to your operations.  If not, we will update this work as confirmed.

The arborist notified us that due to a change in his schedule, the tree work will take place tomorrow.

6/05/23 Onyx Bridge and Cascade Annex East Water Intrusion

In the early hours of June 5, 2023, a leak occurred from a water line in Onyx Bridge, Cold Room 485. The leak impacted several spaces on all floors of Onyx Bridge, and the southern portion of Cascade Annex East. Thanks to the quick work of CPFM staff, the building impacts were contained and limited to cabinetry, carpet, ceiling tiles, and/or wall finishes in the rooms listed below:

Onyx Bridge: 169, 170, H261, 265, 269, H361, 368, and 369.

Cascade Annex East: V150, 160, 160A, and 160B

The University has retained a mitigation contractor, Belfor, to provide mitigation services for all of the affected spaces. Our current mitigation strategy will be to dry out finishes in place where possible, with minimal demolition. This will include the use of dehumidification equipment and large fans strategically placed throughout affected areas. The equipment will generate heat and a significant amount of noise. EHS will oversee the dry out phase of the mitigation. Belfor began setup of mitigation equipment in the affected spaces today (June 7, 2023) and dry out status will be re-evaluated later this week. Once mitigation has been completed, the spaces will be reassembled by CPFM staff as needed.

Starting tomorrow (June 8, 2023), BELFOR will demolish the impacted and failing ceiling tiles in Hallway H261 outside of Rooms 268/269. This work will be performed within a negative pressure enclosure, and the containment will be constructed such that half of the hallway will be passable at all times. This is anticipated to be completed by end of day.

6/21/23 – 9/04/23 Campus Wide Lowered Custodial Services

I am alerting you to CPFM Facilities Services Custodial Department’s temporary adjustment to services provided to the academic buildings during the upcoming Summer Term. Last year we had the opportunity to partner with U of O Housing during the World Track Championships and provide custodial support to supplement Housing’s custodial staff during their busiest time of the year, which coincides with the least occupancy in the academic buildings. As a result of last year’s successful partnership, Housing is again going to utilize Facilities Services custodial staff during the summer. Because of this transfer of custodians, Facilities Services will be reducing some services in the academic buildings during the summer months.

In addition to supporting this year’s Commencement activities, starting June 21, 2023, all of the Custodial day shift, and part of the swing shift, will be working with Housing staff to prepare dorm rooms for the upcoming academic year and to support summer events. Custodial Services will continue to work with Housing until after the Labor Day holiday (September 4th), when they will resume full campus services to the academic campus and spend the remainder of the summer getting the academic buildings ready for the school year.

For the summer, you can expect the following reduction in custodial services in the academic buildings:

  • Offices will not be cleaned.
  • Classrooms that are not scheduled for use by the Registrar will not be cleaned.
  • Reduced restroom and common space cleaning in lower use buildings, though all restrooms will still be checked multiple times per week and cleaned if needed.
  • For buildings with regular classroom use, the only reduction that will be experienced is the temporary cessation of office cleaning.  All other services will remain the same as the academic school year.

Thank you in advance for your support in these efforts. Our custodians work very hard to keep the campus looking and feeling clean and safe for the campus community. They are proud of the work that they are doing to support the students, faculty, and staff.  We realize that there may be things that we have not considered with this service reduction.

Please let us know if there are any challenges or difficulties that we can help address to make things work better for each of you. We will continue to have some custodial staff during the day to support urgent needs that may come up.

6/09/23 Fuel Island Routine Maintenance Shutdown

Begin:  Friday, June 9, 2023, at 7:00 am

End:      Friday, June 9, 2023, at 4:00 pm

Building(s) or Area(s) Affected:  Fuel Pumps in Campus Planning and Facilities Management Compound

Scope:  The fuel island at CPFM will be shut down for regular maintenance.

Services Impacted:  The fuel pumps will be offline during this time.

5/25/23 – 5/26/23 Johnson Hall North Entrance Closure and Noise Advisory

UPDATE:
The work schedule has been revised to Thursday, May 25th, and Friday, May 26th.

Building(s) or Area(s) Affected:  Johnson Hall

Scope:  The north entrance of Johnson Hall will be closed to clean and pressure wash the stairs and balcony.

Services Impacted:

  • The entry will be inaccessible during this time.
  • Noise can be expected the majority of each day due to the operation of pressure washers and other machinery.
