11/17/25 Campus Rekey Policy and Procedures

Dear Campus Requesters,

Due to recent department and office relocations, we want to remind everyone of the policy and procedures related to rekeys. To avoid confusion and streamline the process, please review the information below and save the attached PDF for future reference.

What Is a Rekey?

  • Rekeying a lock means changing the working key of the lock to a different key without replacing the lock itself.

Why Do We Need to Rekey?

  • Rekeying helps maintain the integrity of University spaces and ensures compliance with organizational standards. Each department has a unique keyway, which must be preserved.

When Is Rekeying Required?

  • Rekeying is necessary in any of the following situations:
    • Unauthorized entry
    • Lost keys
    • Preventing theft or vandalism
    • Office or department relocations

This guarantees that previous occupants’ keys no longer work in their former spaces.

Rekey Process for Office and Department Relocations:

  • Allow at least two weeks before occupants move into new spaces for rekeying to be completed.
  • Submit a work ticket through the Call Log or Work Control before any work begins.
  • After submission, coordinate with the Lock & Door Shop to determine how doors should be keyed (offices, shared spaces, submaster keys).
  • Once new keys are created, the authorized requester can place orders through Doors to receive them.

The Lock & Door Shop will stay in contact with departments throughout the process to ensure a smooth transition.

11/14/25 Lewis Integrative Science Building EHS Material Transportation Advisory

Scope:  Environmental Health and Safety and the Civil Support Team will be running a joint exercise in which a bottle from the Lewis Integrative Science Building basement will be assessed, removed from the building, and then transported off-site.  Per the map below, the bottle will be transported along the route as marked in purple.  Environmental Health and Safety staff will be on-site for the activity, with UOPD staff available on-call.

Services Impacted:

  • Expect to see officers in uniform and others in personal protective equipment and EHS team members.
  • Emergency egress from adjacent buildings will remain available, as will fire lane access for emergency response vehicles.
  • Temporary vehicle barriers will be positioned across the Onyx Bridge Dock and the connecting fire lanes.

Scope:  Lane Council of Governments will be working to do some fiber optic splice documentation in communications vaults next to the railroad tracks.

Services Impacted:  They will have a vehicle in the area and will be working at each site for an hour or two.

11/01/25 Campus Changes to UO Garten and Access Confidential Shred Services Advisory

Greetings,

We wanted to inform you about upcoming changes to the university’s confidential shred services from Garten (Eugene campus) and Access (Portland campus).

Starting November 1, all confidential shred bin services will move to an “as needed” or “on call” frequency and departments will be charged back for their use of confidential shredding services.

Why is this change happening? 

This change reflects the university’s shift away from paper-based processes and its commitment to steward institutional financial resources more effectively.

What is confidential shredding? 

  • Confidential shredding is intended for paper records that contain confidential or personally identifiable information, like social security numbers, medical information, financial information, or anything classified as “amber” or “red” data in UO’s Data Security Classification.
  • Your unit may have a gray Garten rolling bin/cart or a grey locked cabinet(or, in Portland, an Access bin) for this purpose.

Many papers don’t need to be shredded. Please use standard recycle bins for low-risk or “green” data, including but not limited to non-sensitive course or program information, non-sensitive research information, and directory information.

What are my options for confidential shredding? 

Garten and Access will change all university pickup frequency to an “as needed” or “on call” basis starting November 1.

Units may choose to:

  • Continue using vendor confidential shred services and provide an index for your unit to be charged back for its usage

o        Coordinate with neighboring units to consolidate bins and share costs.

  • Units may purchase a shredder and do their own shredding. You must use a P-4 or higher crosscut shredder for secure disposal. This option is only appropriate for infrequent or minimal usage.  Please take into consideration the cost of staff time as time spent shredding can easily exceed the minimum pickup fee from the vendor.

What if our office wants to continue with confidential shred bin service? 

·                Please provide an index to Records Management by November 1 using this form.

For Eugene campus (Garten)

  • To request a bin, schedule a pickup, or remove a bin:

Pricing:

  • $70 minimum per pickup (covers up to 184 lbs.)
  • $0.38 per additional pound (up to 499 lbs.)

 

        Schedule pickups when bins are ¾ full to stay within the minimum charge.

What role will Records Management play? 

We plan to:

  • Continue to centrally manage UO contracts with Garten and other vendors.
  • In coordination with FASS, charge back units via journal voucher for the Garten shredding services they use.
  • Continue providing guidance about confidential shredding and appropriate destruction of confidential records.

9/23/25 Onyx Bridge, Klamath Hall, and Price Science Commons Material Stabilization Advisory

UPDATE:

This work is completed. All areas were released from the safety exclusion zone by approximately 12:00 noon today.

Environmental Health and Safety staff monitored all areas of restricted access and are pleased to report there were no issues with building occupants or campus community members intruding into the materials’ path of travel. Our contractor, Veolia, was able to complete their work efficiently and safely. A thank you to all for the attention, cooperation and support that facilitated a straightforward removal of two high risk, potentially unstable, chemicals from Klamath Hall.

Building(s) or Area(s) Affected: Onyx Bridge Dock, Onyx Bridge, Onyx Bridge Hazardous waste facility, Allan Price Science Commons, Adjacent sidewalks, East Access point to Onyx Bridge.

Scope:  Veolia, a contractor for Environmental Health and Safety, will be stabilizing a highly reactive material in preparation for disposal. The contractors’ work will occur within the hazardous waste facility at Onyx Bridge. Transport of the material from Klamath Hall to the facility will be controlled as a safety exclusion zone (purple areas on map below) by 10:00 am and is scheduled to be re-opened by 1.30 pm. Environmental Health and Safety staff will be on site for the activity, with UOPD staff available on-call. UO staff will control access along the sidewalk between Klamath Hall, Allan Price Science Commons, and Onyx Bridge while material is moved to the work site, at approximately 11:30 am – 12:30 pm; this includes an internal stairwell within Klamath Hall, adjacent building and exterior pathway access points. Emergency egress from adjacent buildings will remain available, as will fire lane access for emergency response vehicles, but entry into the safety exclusion zone by non-emergency vehicles or pedestrians will be prohibited. Temporary vehicle barriers will be positioned across the Klamath Dock and the connecting fire lanes. Temporary pedestrian barriers will be positioned across affected areas adjacent to the safety exclusion zones during the material movement phase. Once the material is safe within the Onyx Bridge Facility, restrictions on access to other areas will be eliminated.

Services Impacted:

  • Southern end of second floor of Klamath Hall shall be inaccessible.
  • Southern internal stairs in Klamath Hall shall be inaccessible.
  • Onyx Bridge dock will be closed.
  • Vendor deliveries will be re-directed to the Streisinger loading dock.
  • Pedestrian traffic will be directed around the safety exclusion zone. The Stabilization Activity Exclusion Zone will be closed and staffed until Veolia leaves the site.

9/15/25 Campus New Key Request Portal Begins

To Authorized Requestors:

The Key and Access Office is excited to announce the launch of a new key request portal on September 15th.

Built in collaboration with the Location Innovation Lab, UO Doors will be a one-stop shop for departmental authorized requesters to manage all things keys including ordering, delivering returning, tracking, and auditing.

With the launch of UO Doors we will start delivering keys to department requesters for them to disburse to their personnel. There will no longer be a need for personnel to visit the EMU to collect keys. This includes eliminating the need for physical Key Issuance forms.

As a result of the switch to key delivery, the Key and Access Office is moving from the EMU and integrating with Facilities Management. We anticipate these changes will bring a more efficient key ordering process for all departments.

The new link will be sent out on September 15.

6/25/25 Oregon Hall and Hamilton Hall Public Safety Training Exercises Advisory

On Wednesday, June 25, two separate public safety training exercises will be occurring in buildings near East 13th Avenue and Agate Street.  In the event you see emergency response or police activity related to these exercises, know that they are related to this planned event and there is no need to notify authorities. These exercises are an important part of community preparedness and partnership.

 

Oregon Hall, Fire and Evacuation Drill, 9 a.m. – 10:30 a.m.

  •   Employees and visitors will take part in a fire drill exercise, including building evacuation. Members of the campus community and visitors may see people gathered outside as part of the evacuation.

 

Hamilton Hall, Eugene Police Department training, 9 a.m. – 2 p.m.

  • Training exercises will occur inside Hamilton Hall. Police may be seen entering and exiting the building. Signs will be posted outside and on doors around the training area.
