11/17/25 Campus Rekey Policy and Procedures

Dear Campus Requesters,

Due to recent department and office relocations, we want to remind everyone of the policy and procedures related to rekeys. To avoid confusion and streamline the process, please review the information below and save the attached PDF for future reference.

What Is a Rekey?

  • Rekeying a lock means changing the working key of the lock to a different key without replacing the lock itself.

Why Do We Need to Rekey?

  • Rekeying helps maintain the integrity of University spaces and ensures compliance with organizational standards. Each department has a unique keyway, which must be preserved.

When Is Rekeying Required?

  • Rekeying is necessary in any of the following situations:
    • Unauthorized entry
    • Lost keys
    • Preventing theft or vandalism
    • Office or department relocations

This guarantees that previous occupants’ keys no longer work in their former spaces.

Rekey Process for Office and Department Relocations:

  • Allow at least two weeks before occupants move into new spaces for rekeying to be completed.
  • Submit a work ticket through the Call Log or Work Control before any work begins.
  • After submission, coordinate with the Lock & Door Shop to determine how doors should be keyed (offices, shared spaces, submaster keys).
  • Once new keys are created, the authorized requester can place orders through Doors to receive them.

The Lock & Door Shop will stay in contact with departments throughout the process to ensure a smooth transition.

Scope:  Maintenance staff will be pressure washing multiple entrances at Hendricks Hall on the NW side of the building to clean off organic material build up. The stairwell on the east side leading into vestibule 026 will also be cleaned.

Services Impacted:

  • Building users can expect elevated noise levels in the area from the pressure washing equipment.
  • Building users are advised to avoid using the entryways at stairwell S103, S104, and the entrance at hallway 100 on the west side of the building during work.
  • Building users should avoid using the stairwell on the east side of the building leading to vestibule 026 as well.

Special Instructions:  Building users will be able to enter and exit through stairwell S102 or Lobby 119.

9/23/25 Onyx Bridge, Klamath Hall, and Price Science Commons Material Stabilization Advisory

UPDATE:

This work is completed. All areas were released from the safety exclusion zone by approximately 12:00 noon today.

Environmental Health and Safety staff monitored all areas of restricted access and are pleased to report there were no issues with building occupants or campus community members intruding into the materials’ path of travel. Our contractor, Veolia, was able to complete their work efficiently and safely. A thank you to all for the attention, cooperation and support that facilitated a straightforward removal of two high risk, potentially unstable, chemicals from Klamath Hall.

Building(s) or Area(s) Affected: Onyx Bridge Dock, Onyx Bridge, Onyx Bridge Hazardous waste facility, Allan Price Science Commons, Adjacent sidewalks, East Access point to Onyx Bridge.

Scope:  Veolia, a contractor for Environmental Health and Safety, will be stabilizing a highly reactive material in preparation for disposal. The contractors’ work will occur within the hazardous waste facility at Onyx Bridge. Transport of the material from Klamath Hall to the facility will be controlled as a safety exclusion zone (purple areas on map below) by 10:00 am and is scheduled to be re-opened by 1.30 pm. Environmental Health and Safety staff will be on site for the activity, with UOPD staff available on-call. UO staff will control access along the sidewalk between Klamath Hall, Allan Price Science Commons, and Onyx Bridge while material is moved to the work site, at approximately 11:30 am – 12:30 pm; this includes an internal stairwell within Klamath Hall, adjacent building and exterior pathway access points. Emergency egress from adjacent buildings will remain available, as will fire lane access for emergency response vehicles, but entry into the safety exclusion zone by non-emergency vehicles or pedestrians will be prohibited. Temporary vehicle barriers will be positioned across the Klamath Dock and the connecting fire lanes. Temporary pedestrian barriers will be positioned across affected areas adjacent to the safety exclusion zones during the material movement phase. Once the material is safe within the Onyx Bridge Facility, restrictions on access to other areas will be eliminated.

Services Impacted:

  • Southern end of second floor of Klamath Hall shall be inaccessible.
  • Southern internal stairs in Klamath Hall shall be inaccessible.
  • Onyx Bridge dock will be closed.
  • Vendor deliveries will be re-directed to the Streisinger loading dock.
  • Pedestrian traffic will be directed around the safety exclusion zone. The Stabilization Activity Exclusion Zone will be closed and staffed until Veolia leaves the site.

The contractor accidentally ordered the wrong glass so this will need to be rescheduled.
The door on the NE entry has been relocked.
An update will be sent when the work date has been determined.

 

UPDATE 9/15:
The alternative entrance is just off the parking lot on the NE end of the building, V118.  This door, which is currently locked 24/7, will be unlocked for this window of time.

  • Users of the first-floor gym will still have access.
  • There will be no hot water in the building due to the scheduled plumbing work.
  • A portion of the east/west sidewalk at south side of building and a portion of the parking spaces at south side of building will be affected.

6/30/25 – 9/08/25 Parking Lot #12A (E. of Lawrence Hall) Excavation Work and Repaving Advisory

UPDATE 7/29/25:
To accommodate an addition to the project’s excavation work, construction fencing will be adjusted on 8/4/25, as shown on the attached site layout, to create an alternative pedestrian route. This fencing configuration, and associated pathway, will remain in place until 8/15/25. The fencing will then return to its prior layout, on 8/16/25.

2nd UPDATE 7/18/25:
The concrete delivery mentioned below has been delayed, due to subcontractor schedule changes, and will now be taking place between 8:00 am and 10:00 am instead of 5:00 am to 7:00 am.

 

UPDATE 7/18/25:
The blue bins for paper, block Styrofoam, and food scraps are located behind Pacific Hall near the end of the fire lane.  The dumpsters for garbage and cardboard recycling are still situated by the front of Columbia Hall as mentioned previously.

UPDATE 7/17/25:

On Monday, July 21st, from 5:00 am to 7:00 am, the contractor will be performing concrete pours, and as part of that, expect several concrete trucks and additional equipment moving around and through the worksite and adjacent portions of the lot.

Due to the early timing, this is not expected to provide much, if any, disturbance. Only anticipated difficulty could be limited vehicular movement withing the parking lot itself, during the work, possibly causing minor delays.

Scope:  Beginning 6/30/25, in order to install an electrical vault towards bettering Campus electrical service and safety, Andersen Construction and Pacific Excavation will be performing excavation work, and repaving, within the west side of parking lot 12A, adjacent to Lawrence Hall’s east side entry.  Please see attached logistics plan for a more detailed perspective.  Thank you for your understanding as we carry out this work.

Services Impacted:

  • During this work there will be times of consistent, as well as intermittent, construction noise, particularly during the excavation phase of the project.  There will be some vibration during the associated earthwork compaction.
  • Some odor will also be present during the paving portion, and it will be mitigated as much as possible.
  • There will also be a short-term electrical shutdown, to be schedule at a time that will produce as much limited interruption and inconvenience as possible. Once the timing of that task is defined, this notice will be updated for your awareness.

UPDATE 7/15/25:
Due to the Lawrence Reroof project, permanent fall protection equipment will be installed.  The installation will take place in the 3rd floor Lawrence hallway and is expected to take 5-6 hours to complete. This work will begin at 7:00 am on Wednesday 7/16. Sounds of electric drills and other equipment should be expected.

UPDATE 6/13/25:
Attached please find the first phase of construction impacts to the ingress and egress pathways around a section of Lawrence.  Similar updates for the next two sections will be forthcoming.  Construction on the first section of roof will commence June 19 (as listed below), but setup will begin on Tuesday 6/17.

The purpose of this notification is to inform building occupants of the EMU and nearby buildings of the work being done on 3/27/2025 outside of the EMU Fishbowl and Ballroom starting at 7:00 am until 2:00 pm.  EMU Staff will be power washing the overhang roofing.

The areas effected will be:

  • Ballroom terrace and doors will be closed, due to anchoring system
  • Main seating area of the Fishbowl closed, in direct over spray area
  • Main lobby doors L101 open
  • V111 open
  • 161 North entrance closed
  • All entrances and exits will be available for egress

We will have a staff on the ground to help assist with directing people of where the work is happening.

Scope:  The historical west entrance doors and door transform will have a Tung oil finish applied to the exterior surfaces as part of the restoration company’s recommended regular maintenance.

Services Impacted:  The west entrance will be closed for the duration of the door maintenance.

Special Instructions:  Please use an alternative entrance to enter and exit the building on these days.

Building(s) or Area(s) Affected:  Sidewalks on the North Side of 1600 Millrace.

Scope:  All sidewalks on the north side of 1600 Millrace will be pressure washed.

Services Impacted:

  • The northeast entrance of the building will be inaccessible for short periods while cleaning entry, please use the southwest entrance if necessary.
  • Parking spaces in front of the sidewalk will be temporarily unavailable for short periods to wash the curbs.
  • Noise is to be expected during these times.
