In our last update, we provided a summary of preliminary activities and timeline for kicking off the transition to OnBase with the Hyland team, and shared a preliminary timeline for OnBase system configuration and data and document conversion from Singularity to OnBase.
Update on OnBase Activities
Discovery
The “discovery” process involves gathering information from departments that currently use Singularity to document how they store documents and to inform the transition to OnBase. The Hyland team and the Information Services project team worked with subject matter experts in Admissions, the Registrar’s Office, and Financial Aid to learn about those departments’ use of Singularity. The Information Services project team is conducting additional discovery with the remaining departments that have data and documents in Singularity. Information Services and Hyland will prepare taxonomy information (that is, an overall organizational scheme for documents in OnBase) based on that discovery process, which will then be submitted to those departments for approval.
Configuration and Conversion
Next, the Hyland team plans to spend about one month configuring the OnBase system. After that, Hyland will work on limited conversions from Singularity to OnBase to produce samples of converted data to compare with what is currently in Singularity. That effort is projected to continue through November 2018.
Workflow Migration
The redevelopment of existing workflows in Singularity for OnBase is scheduled to begin early November. The migration of workflows from Singularity is expected to continue through spring 2019.
