  1. Students enrolled in certain CINE production classes
  2. CINE Faculty and Staff
  3. UFO Members [UFO equipment only]

How to check out gear

Before you can borrow equipment, you must fill out the Equipment Usage Agreement Form. Once you have done this and obtained any necessary approval, you can start checking out gear.

Checkout Rules

Gear is a privilege, not a right. Failure to observe our policies may result in suspension of your ability to use equipment, regardless of the impact on your grade.

  • While using CINE equipment, you must follow all production safety rules. Failure to do so may result in immediate revocation of the privilege to check out equipment. You are responsible for knowing these rules when planning your shoots.
  • Checkouts longer than 3 days require additional approval. Please send an email to the Equipment Room to request a long-term checkout.
  • Do not request equipment and not pick it up. If you need to cancel or delay your pickup, notify the Equipment Room before closing time.
  • Do not miss your return date without notice. If you are going to be late or need to extend your checkout, notify the Equipment Room before closing time.
  • Do not attempt to fix broken or malfunctioning gear yourself. Return it to the Equipment Room for a replacement.
  • You are responsible for the safety of the gear you check out. If gear is stolen, damaged, or lost while in your possession, the Cinema Studies Department can charge you for some or all of the cost to repair or replace the equipment if we determine that the damage or loss was caused by negligence on your part.
  • Only individuals with departmental approval are allowed to operate the equipment. This is true even if the person who checked out the gear is approved by the department.

Checkout Process

Here’s what to expect each time you check out gear.

  1. Submit the Checkout Form. Submit this 24 hours before your checkout so the Equipment Room staff have time to prepare your order.
  2. Equipment Room staff will approve or deny your submission. They will provide a reason if your submission is denied.
  3. Pick up your order from the equipment room during pickup hours. Remember to bring your student ID or driver’s license so we can verify your identity. Make sure you are on-time for your appointment (<30 minutes after your requested pickup time).
  4. Check your order before you leave. Make sure you have everything you requested. If you need additional items, let our staff know.
  5. Proactively communicate with the Equipment Room. If you are going to be late or if you need to request an extension for some or all of your gear, contact the Equipment Room ASAP. Do not wait until after your return time to request an extension or to let us know you will be late.
  6. Return your order. Drop off your equipment in the equipment room during any hours we are open. If you do not return your order on the specified date, it will be marked as late.
