Equipment Checkout Policy

Who can check out gear?

You can check out gear if the following statements are true:

  • You are in a production class AND
  • You have submitted a valid Equipment Usage Agreement for the term AND
  • You have been trained and authorized to use the specific items you wish to check out

Members of the University Film Organization (UFO) have their own equipment which can be checked out from the Equipment Room. For more information, please reach out to UFO leadership.

There are occasionally exceptions to these rules subject to departmental approval.

How do you check out gear?

You must complete the following steps:

  1. Submit an Equipment Request Form at least 1 day in advance of your pickup time
  2. Book pickup/drop-off appointments (links in the Equipment Request Form)
  3. Bring your student ID to your pickup appointment

Once you have submitted your form and appointment bookings, an Equipment Room employee will verify that you are authorized to check out gear and that there are no mistakes in your form submission.

If they find an issue, they will reach out to you via phone or email. If not, your submission will be approved and you will receive an email notification.

After receiving your equipment and before you leave the equipment room, check to make sure that you have everything you need including batteries, tripod plates, and XLR cables. If you are doing a longer shoot, you may want to request additional batteries.

When you come to drop off your gear, please expect to spend the full duration of your 5 minute appointment in the equipment room. Equipment room staff will do a brief initial check over your gear and ask a few questions before you leave. If you are early or late, you may have to wait for other students to finish their scheduled appointment times.

If you suspect something is wrong with the gear, please let us know even if you are not certain. This helps us track problems so we can keep the gear in good condition for everyone to use.

Checkout Rules

  • You can check out equipment for 1 business day at a time without prior approval. For example, if you pick up your reservation on Thursday at 9:00 AM, you can schedule a drop-off appointment for any time on Friday. If you pick up your reservation on Friday at 9:00 AM, you can schedule a drop-off appointment for any time on Monday.
  • During your checkout you can extend your checkout by 1 business day once per checkout. You must reach out to the Equipment Room via phone or email prior to your scheduled return appointment to do so. Extension approval is dependent upon equipment availability.
  • Longer checkouts or other situations outside of the above parameters must be approved in advance by Cinema Studies faculty and/or staff. Please reach out to the Equipment Room for more information.
  • You must arrive promptly for your pickup/drop-off appointments. Call if you are going to be late. Call or email if you need to reschedule.
  • You are responsible for the safety of the gear you check out. If gear is stolen, damaged, or lost while in your possession, the Cinema Studies Department can charge you for some or all of the cost to repair or replace the equipment if we determine that the damage or loss was caused by negligence on your part.

Failure to observe any of these policies can be grounds for suspension from checking out equipment.

FAQs

  • I went to pick up (or drop off) my gear but the equipment room door was closed. What’s going on? You were likely late to your appointment and the staff person had to leave temporarily. If this is not the case, please let us know.
  • What do I do if my equipment isn’t working properly? Do not try to fix the equipment yourself. Call the equipment room. They can exchange the malfunctioning unit for a working one.
